Free Project Management Software: Team Limits and Useful Features

A useful free project tool lets your actual team keep working after the trial ends. The important limits are the people who can participate, the projects that can stay active, the information you can store and the features that continue without payment.

Trello is a practical starting point for shared card flow with up to ten collaborators. Plaky offers boards without a user cap, Freedcamp combines several project tools with unlimited users and projects subject to fair use, and GoodDay supports up to 15 members with configurable workflows. ClickUp and Zoho Projects are also worth considering when their storage or project limits fit the work.

If a board showing tasks moving through stages would solve the immediate problem, try a real project in Trello within its continuing Free limits.

Choose for the team you have

Count everyone who must contribute, including external participants. Then count the projects that need to remain active at the same time. A plan for five users can be useful to a five-person team, while unlimited users with only two active projects may fit a larger group sharing a small amount of work.

Next, list the activities you will use every week: assigning tasks, discussing work, storing files, recording time, automating handoffs or checking a schedule. A feature available for a limited number of uses is different from an ongoing free entitlement. Large paid feature lists do not tell you what remains usable on Free.

Seven useful places to start

Trello: visible task flow for up to ten collaborators

Trello organizes boards into lists, with cards carrying task details and moving through agreed stages. It gives a team a shared view of what is waiting, active and ready for review.

Free includes ten collaborators and ten boards per workspace, unlimited cards and a 10MB per-file limit. Its monthly automation allowance is 250 runs and 2,500 operations; a run and the actions it performs use different meters. Guests count toward the collaborator cap and see every card on a shared board.

Standard adds unlimited boards, custom fields and advanced checklists; Premium adds broader views. Essential Power-Ups may have separate costs. Read the Trello review for collaboration and upgrade details.

Plaky: shared boards without a user limit

Plaky's boards can hold shared statuses and project information. Free allows unlimited users, spaces, boards, items and views, making it relevant when a growing participant count is the main obstacle in other free plans.

The boundaries are six fields per board, seven-day activity history, single-board dashboards and 10MB per file. A team that needs many structured fields, private boards or a longer record of changes should evaluate the paid scope rather than focus only on the user allowance.

Its Clockify connection supports time tracking on all plans but requires a separate Clockify workspace in the same CAKE organization, with reports living in Clockify. Pro adds Gantt, private boards, unlimited fields and 1,000 monthly automation actions. Gantt availability alone does not establish dependency scheduling. Read the Plaky review to assess the board and connected-time workflow.

Freedcamp: several project tools with fair-use limits

Freedcamp Free combines tasks, calendar, time, milestones, discussions and files. It allows unlimited users, projects, tasks and storage subject to fair use, with a 10MB per-file limit. That gives teams a reason to investigate it when they want several basic project activities together without a small project cap.

Fair use is still a real condition, not a promise of unlimited capacity in every situation. Subscription-owner and guest details, along with how fair use would apply to your workload, need confirmation.

Pro adds file-service links and email-in. Business adds templates, reports, issues, wiki and invoices; Gantt is a Business or Enterprise capability, not an established Free feature. Read the Freedcamp review before relying on a particular upgrade or collaboration arrangement.

GoodDay: configurable workflows for up to 15 members

GoodDay Free includes 15 members, unlimited tasks and projects, 1GB storage, templates, custom workflows, dashboards. Tasks retain ownership, history and context, giving a team a structured record of work and progress.

It is worth considering when the team wants to adapt a workflow rather than simply share a fixed task list. Gantt and time tracking are Professional features; resource and workload tools require Business. Named Slack, Dropbox and Box connections are Professional despite broader integration language elsewhere.

GoodDay is a useful free starting point for teams of up to 15 that need configurable workflows. Check the paid offer when planning an upgrade. Read the GoodDay review for the plan gates and setup considerations.

ClickUp: tasks and documents with a small storage allowance

ClickUp brings tasks, Docs and chat into a configurable hierarchy. Free includes unlimited tasks, five Spaces and 60MB storage. That can support a team willing to agree its structure and keep the stored material within the allowance.

Free permits five active automations and 100 monthly actions. Workload's 60 uses are a non-resetting feature trial, not a monthly allowance for ongoing planning. AI trials likewise do not establish permanent free AI access, and the storage cap also applies when importing content.

Unlimited adds storage, custom fields and native time tracking; Business provides continuing unlimited Workload use. Read the ClickUp review if you need to distinguish the free workspace from the paid suite.

Zoho Projects: a defined small-team project allowance

Zoho Projects Free supports five users, three projects and 5GB storage. Its dedicated task and project collaboration model is worth evaluating when those limits fit the number of people and simultaneous initiatives.

Premium adds unlimited projects, time logs, budgets and within-project dependencies. Enterprise adds cross-project dependencies. Visit Zoho Projects for up-to-date pricing when planning that upgrade.

Classic support publishes an eight-weekday-hour first-response target; Free lacks support chat. Import routes are listed, but that does not promise lossless transfer of an existing project history. Read the Zoho Projects review for the wider buying decision.

Asana: shared assignments for a two-person team

Asana Personal supports assigned tasks, dates, comments and list, board and calendar views, with individual task visibility. Its current two-seat allowance can suit a pair who want their own assignments connected to a shared project. The per-file limit is 100MB.

The current plan applies to signups after November 12, 2025; some eligible legacy accounts retain ten seats. A new team should not budget around the older allowance. Forms and deeper planning or reporting need paid plans, with Starter adding timeline/Gantt, forms and custom fields.

Read the Asana review for its workflow and the seat rules that apply if you later upgrade.

Other free plans that may fit a specific shape of work

ProductWhat makes it usefulContinuing limit to check
NiftyTasks, milestones, Docs, discussions/chat and dependencies together; milestone progress follows tasksUnlimited members, but two active projects and 100MB storage
HiveShared tasks and notes with native chat/emailTen members and 200MB; paid Starter adds Gantt/calendar, while Teams adds time, forms and portfolios
QuireNested tasks and filtered sublists that share the same underlying workTen members, four projects, 1,000 tasks per project, two sublists per project and five-day history
BasecampProject-centered tasks, discussions and filesOne project, five users and 1GB; confirm Free Timesheets access if needed
AirtableA small custom project tracker connected to other structured recordsFive editing collaborators, 1,000 records per base and 100 automation runs monthly, including failures; no Free Sync or automation scripts
RedboothShared work for a pair across a small workspace allowanceTwo members and two active workspaces; Free excludes exports, time tracking, private workspaces/tasks, workload and task-list templates

Quire also limits Free to five statuses, one custom field and one document per project, with 3MB per file. Confirm total Free storage with Quire if you plan to keep project files there. Airtable requires maintaining a data model, so a free allowance does not remove configuration work. For Hive, check ordinary invitations when upgrading, since they can create billable members.

These are alternatives with different useful limits, not a universal ranking. Choose the one whose continuing allowance covers the work and the people who must do it.

Trials, bundled access and self-hosting are different offers

OpenProject Community has no license fee, but self-hosting and maintenance create operating costs. It belongs in the decision when someone can own those responsibilities, not in a claim that hosted operation is free.

Microsoft Planner basic is included with qualifying paid Microsoft 365 subscriptions. Existing subscribers may already have access, but it is not universally free software independent of that license.

Notion multi-member Free is a block-limited trial rather than an unlimited continuing team workspace. Superhuman Docs, formerly Coda, has shared-document limits and maker billing to assess. Taskworld offers a 14-day trial; confirm any legacy Free or Premium entitlement with the provider.

A trial can still help evaluate a product. The crucial question is which work remains possible after it ends and whether the resulting subscription fits the budget.

Check a complete project before adopting the free plan

Create or import one representative project with real participants. Ask people to find their assignments, leave an update and locate the latest decision. Include the typical file sizes and any guest who needs access. For automation, estimate a normal month of actions rather than counting only the number of rules.

If switching tools, check migration separately. Trello has no generic native importer, and a pasted title list does not preserve comments and attachments. Plaky starts from CSV or a template; other tools' import routes also need a small validation before a wider move. A free storage allowance that covers fresh tasks may not cover historical files.

Finally, identify the likely upgrade trigger: another colleague, a third project, private boards, longer history, native time recording or ongoing workload planning. Read the full product review for paid pricing and integration scope, and confirm the support channel available on Free. A useful free tool should remain useful under the actual conditions in which your team works.

Where to begin

Try Trello for a visible shared workflow within ten collaborators and ten boards. Consider Plaky when the participant count needs room, Freedcamp for a broader set of basic project tools, or GoodDay for configurable work across up to 15 members. ClickUp, Zoho Projects and Asana are useful when their particular storage, project or seat allowances fit.

Bring one real board-sized project to Trello and check that the people, files and recurring actions remain within Free.
