OpenProject Review and Pricing: Cloud or Self-Hosted?

OpenProject organizes work packages—tasks, bugs, risks, milestones or phases—inside shared projects. A table and detail view bring status, ownership, dates and activity together, while Gantt and board views provide different ways to plan and follow the work. It offers both a self-managed Community edition and paid Enterprise options, including vendor-maintained cloud hosting.

The combination is worth considering when you want structured project records and a choice about where the system runs. Explore the work-package model first, then choose the hosting and support arrangement your organization can sustain.

One structure for several kinds of work

Work packages let a project represent more than a list of tasks. A milestone, an issue and a phase can each be tracked as a relevant work type, with the responsible person, dates and activity visible in context. This gives a team a common way to discuss different parts of delivery.

Community includes work packages, Gantt and basic boards. The documented starting sequence is to create an account and project, invite members and then organize the work through those views. Administrators configure work-package types and activate the module per project, so some design of the shared structure belongs in setup.

A work package's Files tab can accept uploads or link existing files in Nextcloud, OneDrive or SharePoint. Keeping the relevant document attached to the work record can help a contributor find the context behind an assignment. The entitlement and configuration of the chosen file service still need to match the edition you buy.

OpenProject pricing: Community, Cloud and Enterprise

Community is free to license and self-managed, with community support. It can be an appealing option for an organization that wants to operate the software itself, but the license price excludes hosting, maintenance and staff time. An owner for those operational responsibilities is part of the decision.

OpenProject Cloud is maintained by the vendor. On-premises uses the buyer's infrastructure. Paid Enterprise offerings add features and support, so hosting location and Enterprise tier are separate parts of a useful comparison.

Visit OpenProject for up-to-date pricing for the hosting option and Enterprise tier you need. The listed Basic and Professional offers require at least 25 users with five-seat increments; confirm that minimum against the selected Cloud or on-premises offer. Compare the whole commitment, including any infrastructure and maintenance you will operate.

Basic specifies email support during working hours. Professional adds phone support, and higher tiers add onboarding or installation assistance. Ask for the applicable hours and assistance scope, especially if your organization needs help operating its own installation.

External sharing and integration gates

Sharing individual work packages externally is an Enterprise add-on. That differs from assuming every collaboration pattern is included in the Community edition. Map the people who need ordinary project membership and those who need limited external sharing before choosing a tier.

Nextcloud file integration is available in Community, while Nextcloud SSO requires Corporate. This is a useful example of why a product-level integration claim is not enough: file access and identity integration can sit at different tiers. GitHub, GitLab and other file connections are also listed, but exact entitlements require checking for your chosen deployment.

Cloud offers a 14-day trial. Use it to model the work types, permissions and file connections your team needs. If you plan to self-host, separately assess installation, maintenance and recovery responsibilities; the hosted evaluation does not demonstrate your own infrastructure setup.

When OpenProject belongs on the shortlist

OpenProject is a strong candidate for teams that want structured work records, Gantt planning and meaningful control over hosting. Community is relevant when you can manage the installation; paid options become useful when support, additional features or vendor operations are part of the requirement.

Our project management comparison can help you decide whether work structure, application breadth or deployment choice matters most.

Start with a project containing the work types and files your team actually uses. Once that structure fits, request the exact cloud or on-premises offer with external sharing and support included where needed. That makes the hosting choice and the project experience part of the same purchase decision.
