Airtable Review and Pricing for Project Management

Airtable lets teams build project tracking around connected business records. Projects can relate to clients, assets or requests, while forms, views, interfaces and automations give different people ways to enter information and act on it.

This is especially useful when a task list needs context from the rest of the business. Instead of keeping a separate client name or asset reference in every tracker, linked records can connect those details. Explore Airtable if your project process needs that kind of shared structure and your team is prepared to shape it.

Building a working system around your records

Tables hold records, and linked records connect information between tables. A project tracker could relate work to the relevant client and supporting assets, with an interface exposing the information a participant needs. Views and forms make that underlying model useful for daily tracking and intake.

Automations can update records or act in connected tools after a trigger. That offers a way to route a request or carry a status change into another step of the process. The useful result depends on how the team designs the record relationships and triggers.

Someone must own that design after launch. Duplicating a record also duplicates its relationships, so duplicate handling and ownership conventions matter. Interfaces provide purposeful views; they do not remove the need to maintain the underlying tables.

Airtable pricing: Free, Team, Business and billable roles

Listed prices put Team at USD 24 per user per month on monthly billing or USD 20 annually. Business is USD 54 monthly or USD 45 annually; Enterprise Scale requires a quote. Billing is per workspace, and Business requires a private email domain.

On Team, Owners, Creators, Editors and Commenters are billable. On self-serve Business, Commenters are unbilled. Read-only users and view links are unbilled. This distinction matters if many colleagues need to comment but few build or edit the system: calculate the role mix on each plan rather than multiplying every person by the same headline amount.

New paid users on an annual plan are charged for the remainder of the annual commitment. Sales-led contracts can differ, so use the account's offer for the final calculation. Forms and share links provide additional ways to collect or expose information without assuming every participant is a paid editor.

Capacity and automation limits

Free allows 1,000 records per base and five editing collaborators. Team raises the record allowance to 50,000 per base and includes 20GB of attachments per base plus 100,000 API calls per workspace per month. Business allows 125,000 records and 100GB of attachments per base. Records across the tables in a base share its limit.

Monthly automation allowances are 100 on Free, 25,000 on Team, 100,000 on Business and 500,000 on Enterprise Scale. Failed attempts count too, making error monitoring part of the ongoing work. Free cannot run scripts, and its automation emails are restricted to base collaborators.

When record or attachment caps are reached, additional records or files are blocked until the limit is addressed through an upgrade; automation and API use also stop at the relevant plan limit. These capacities are published entitlements, not performance benchmarks. Estimate both normal growth and recurring execution for the system you plan to build.

What sync means here

Free has no Airtable Sync. On paid plans, synced records count toward the destination base's allowance. Business adds two-way Airtable sync, but that does not make every external connector bidirectional.

External sync integrations are one-way into Airtable: editing the imported data does not write it back to the external source. Slack, Google Drive, Salesforce and Jira integrations are listed, but each connection needs its own scope check. For a workflow that must update another application, demonstrate that exact action rather than relying on the general word “sync.”

Templates, Academy, help resources and service partners can support setup. If switching, confirm the CSV import behavior and support response terms you need. Use a representative import to inspect relationships and duplicates, and request an implementation or support quote where the team needs external assistance.

Alternatives and verdict

Asana is a useful alternative when dedicated tasks, schedules and portfolio coordination already fit the process. ClickUp combines configurable projects with Docs, communication and time recording. The project management comparison helps decide whether maintaining a custom record model is central to your needs.

Choose Airtable when project operations depend on connected business information. Its flexibility pays off when the team has a clear model and someone responsible for maintaining it. Visit Airtable to build a small version of that model and check its collaborator roles, record growth and automation usage against the intended plan.
