Redbooth
Redbooth Review: Team Workspaces, Plans and Pricing
Redbooth organizes project work into workspaces containing task lists, assignments and dependencies. Templates can turn a recurring delivery structure into an editable workspace of tasks and subtasks, while paid workload, timeline and reporting tools help a team review commitments beyond today's assignments.
It is a good fit when projects repeat in recognizable patterns and you want those patterns to become a shared starting point. Look at how a current project would translate into a workspace before deciding which reporting and collaboration features you need.
Reusable structure and linked tasks
A workspace template creates task lists, tasks and subtasks in the chosen organization, which the team can then edit for the new project. That provides a practical way to reuse a delivery structure without requiring every project to remain identical.
Dependencies can be created from the task card. A task can block, or be blocked by, several other tasks, allowing the team to record the order in which work needs to happen. These links appear on the timeline when the tasks have due dates. Repeating tasks cannot have dependencies, so recurring work needs a specific check if its schedule depends on other assignments.
Pro includes dependencies and workload. Business adds subtask assignment and dates plus broader reporting, making it relevant when accountability needs to extend below the parent task and managers want more analysis of delivery.
Redbooth pricing: Free, Pro and Business
Free supports two members and two active workspaces. The downgrade guidance makes several paid boundaries explicit: Free loses exports, time tracking, private workspaces and tasks, workload reports and task-list templates. External members are also removed on downgrade.
Pro is USD $9 per user per month billed annually or $12 monthly. Business is $15 per user per month annually or $18.75 monthly, and Enterprise requires a quote. Paid subscriptions allow unlimited workspaces, though the help recommends keeping no more than 600 active and archiving the remainder. Archive completed work as the project library grows.
Email support is listed across tiers. Business adds priority support, while Enterprise offers phone support and training. Request the response target and training scope you need.
External contributors have a distinct role
External members do not consume paid seats on Pro or Business. That can be useful when someone outside the internal team needs to participate in selected work, but the role is limited to two workspaces and restricts reporting, timeline overview and task resolution.
Check the actions an outside contributor needs before treating this as equivalent to full membership. A collaborator who must resolve tasks or work across many workspaces may need a different arrangement. Also note that organization administrators can join private workspaces; privacy from ordinary members is not privacy from those administrators.
Connections, migration and keeping your records
Business documentation includes OneDrive or OneDrive for Business, Okta and Outlook connections. Confirm the precise integration and availability you require before making it a deciding factor.
If switching, begin an import evaluation with a representative workspace and check lists, subtasks, ownership and dependencies, rather than assuming the template mechanism will transfer all existing records.
The export boundary is concrete: workspace CSV and XLSX exports include task data and only 30 days of comments. Conversations and files require separate downloads. If retaining complete project history matters, design an archive process around those separate outputs before committing the team to long-term use.
Verdict and alternatives
Redbooth is a useful candidate for repeatable project structures, task sequencing and paid workload visibility. Its external-member option can also be valuable when limited participation in a small number of workspaces is enough.
Consider Asana for assigned project work linked to personal follow-through through My Tasks and Inbox. ClickUp offers a broader combination of tasks, documents, chat and dashboards within a configurable hierarchy. The project management comparison helps place those approaches alongside Redbooth.
Use a repeat project to evaluate Redbooth's workspace structure, dependency cards and the roles of internal and external participants. Then select Pro or Business according to the subtask and reporting depth you need, with the current integrations and archive process confirmed.
