Notion Review and Pricing for Project Management

Notion brings project information and task databases into a shared document workspace. A task can stay connected to its brief, supporting knowledge and other business records, rather than becoming an isolated item in a separate tracker. Relations connect database records, and rollups summarize information from those connections.

That makes Notion worth exploring when the context around the work is as important as its status. Look at how a project page and a task database could serve your team together.

Projects built around shared information

Notion lets teams design the structure connecting projects, tasks and reference material. Relations and rollups can connect those records and summarize related information. For example, a team could organize its project context beside the records used to track execution, provided it defines the databases and their relationships.

Task planning includes configurable sub-items and dependencies. Date shifting can preserve intervals or be disabled, giving the team a choice about what happens when linked dates change. Plus adds database automations, charting and custom forms alongside its other workspace features.

The flexibility means someone needs to own the structure: which database is authoritative, how a task is assigned and which properties everyone maintains. It is best evaluated as a workspace you shape around your process. For specialized delivery, ask how resource leveling, time billing or portfolio capacity would work before choosing Notion for those requirements.

Notion pricing: Free, Plus, Business and guest access

Notion charges paid plans per member. Visit Notion for up-to-date Plus and Business pricing in your currency and chosen billing term. Plus adds database automations and custom forms; choose Business when granular database permissions, private teamspaces or SAML are needed. Count paid members separately from page-level guests before comparing the total.

Free collaboration with multiple members is a limited block trial. The help describes a three-day grace period at 1,000 blocks, while paid plans remove that block limit. A personal Free workspace and an indefinitely free internal team workspace are therefore different propositions.

The current guest allowance is ten on Free and unlimited on paid plans. Guests are free page-level participants who see specifically shared pages rather than whole teamspaces. Members consume paid seats, and an invitation can offer a member upgrade. Keep the intended role clear when inviting a client or occasional contributor.

Added paid seats are prorated. Removing a member leaves a reusable seat until renewal rather than producing an immediate credit. Upload limits are 5MB per file on Free and approximately 5GB on paid plans; page history is seven days on Free, 30 on Plus and 90 on Business.

Business adds granular database permissions, private teamspaces, SAML and AI or connected-search capabilities. Enterprise adds SCIM and audit controls. Custom Agents use separately purchased credits, so Business AI access should not be read as unlimited autonomous-agent use.

If switching to Notion, rebuild the important structure

CSV imports turn rows into pages and columns into properties. They add rows rather than updating existing records, which makes duplicate checks important when importing into an established database.

A new CSV import cannot create relations, formulas or rollups. Those need reconstruction, though an existing relation property can be mapped when adding to an existing database. The import file limits—5MB on Free and 50MB on paid plans—are separate from ordinary attachment limits. A successful upload is consequently only the start of checking that the workspace represents the old information correctly.

Notion's pricing describes one-way database syncs from Jira, GitHub and Asana. Keep those distinct from embeds, connected search and other integrations: they do not promise universal two-way synchronization. Choose which system owns each record before relying on synced information for project status.

Support is available in-app, with custom premium support for Enterprise. Request a contractual response target if it is essential. For a complex workspace, include responsibility for permissions and database maintenance in the adoption plan.

Verdict: strong when knowledge and work belong together

Notion is a good candidate for a team that wants to connect project tasks with the briefs, notes and reference material that explain them. Its database relationships and configurable planning provide useful building blocks, particularly when the team is prepared to maintain a shared structure.

If you want a more prescribed project-coordination model, consider Asana, whose assigned projects, My Tasks and Inbox support daily follow-through. ClickUp is another route to combining tasks, documents and chat, with native time recording in its broader workspace. The project management comparison helps you weigh those approaches.

Build one representative project in Notion with its task relationships and a guest's access to shared pages. If that captures how your team works, check the paid membership requirement and select the plan whose permissions and history meet your needs.
