Self-hosted agile project management: editions, sprints and operating costs
Start with self-managed Taiga when Scrum and Kanban are the central job, and compare OpenProject when agile work must sit alongside wider schedules. For configurable issue, version and repository workflows, YouTrack Server and upstream Redmine form a different pair. All require an explicit operating owner; choosing a Cloud edition of the same product does not satisfy a requirement to run it on your infrastructure.
Match the delivery workflow to the deployment
| Product and edition | What it helps organize | Main decision before adoption |
|---|---|---|
| Self-managed Taiga | Scrum backlogs, sprints and burndown; Kanban WIP and swimlanes | Operate the application and its services, or obtain a specifically on-premise support quote |
| OpenProject Community/on-premise | Work-package schedules plus current sprint and action-board workflows | Multiple active sprints require Enterprise; verify your release version |
| YouTrack Server | Configurable issues, Scrum/Kanban/version boards and VCS/build links | Obtain the separate Server license and plan workflow/integration administration |
| Upstream Redmine | Role/type issue transitions, version roadmaps and repository changesets | Assess the exact Scrum plugin separately, including cost and maintenance |
| Plane Community or commercial self-hosted | Work items, cycles and modules | Resolve edition-specific imports, governance and connected versus air-gapped operation |
| GitLab Self-Managed | Planning beside repositories and CI | Operate the wider platform; check paid iteration scope, runners and release compatibility |
Choose Taiga ahead of OpenProject when the agile team's sprint and WIP process is the priority. Reverse that order when software delivery belongs in broader work-package schedules. For an issue/version system, YouTrack Server is the starting point for documented configurable boards and build connections; Redmine becomes more attractive when upstream customization and community operation suit the team better than a Server subscription.
The editions change what you are buying
OpenProject Community supports unlimited users and projects. Version 17.3 added independent sprint objects and made all action-board types available in Community. Basic boards group cards without changing work-package attributes; action boards change the represented attribute. The current default is one active sprint; simultaneous active sprints require Enterprise. Check the version you will actually deploy rather than relying on older board comparisons.
YouTrack Server 2026.2 documents Scrum, Kanban and version-based boards, custom roles and configurable issue workflows. Visual workflow rules need appropriate project rights; converting a visual workflow to code means subsequent editing is code-based. Its Server license, storage and operations are separate from Cloud pricing and free allowances.
Plane Community is described as free, unlimited-user self-hosted software under AGPL-3.0. For Community, confirm the required import route separately from the commercial importer. Ask for your required workflow and role controls in the exact commercial tier before purchasing. Connected commercial installations have license/seat synchronization needs, while air-gapped operation is a separate entitlement question.
Taiga's backend identifies MPL-2.0 and its frontend AGPL-3.0; review the components and deployed version rather than assigning one license to the entire stack. Its vendor-managed Private Cloud is distinct from a quoted on-premise installation behind your firewall or VPN.
Self-hosted project management costs: build the budget
Use a first-year budget with one-off setup plus twelve months of recurring costs, then calculate the ongoing annual cost separately. List the currency, tax treatment, billing term, capacity and owner for each item; a license price alone cannot represent the whole service.
| Budget item | What to include | How to scope it |
|---|---|---|
| Software and paid features | Community license, required Enterprise add-ons or YouTrack Server subscription | Name the edition, users, renewal term and required features; OpenProject multiple active sprints is an Enterprise requirement |
| Infrastructure | Application and database hosting, storage, backups and network services | Estimate work-item history, attachments, growth, retention and recovery copies; include GitLab runners if operating that wider platform |
| Initial setup | Installation, identity/access configuration, TLS, email and repository connections | Name an internal owner or obtain an implementation quote; include a migration sample only if switching |
| Ongoing administration | Patches, upgrades, monitoring, credentials and access changes | Allocate responsible staff time and a maintenance window; include plugin compatibility work for Redmine |
| Recovery | Database and attachment backups, protected copies and restore exercises | Specify retention and the recovery process the team will test; OpenProject needs both PostgreSQL data and assets |
| Support | Community help, vendor subscription or separate service provider | Identify incident coverage and response commitments; a support subscription does not automatically include operating the server |
Request actual infrastructure and service quotes for this scope. Community Redmine, Plane or OpenProject can avoid a software seat charge while still requiring the operating items above. YouTrack Server and paid Enterprise features add their own license or subscription line; Cloud prices and hosted storage allowances do not transfer to a self-managed installation.
Assign ownership for the operating service
Assign responsibility for updates, database and attachment backups, restore testing, access configuration, TLS, secrets and integration connectivity. Redmine also requires compatible Ruby, database and SCM dependencies and a production queue setup. Taiga's Docker deployment involves database, queue and application components plus SMTP and HTTPS configuration. OpenProject's backup guidance covers PostgreSQL data and application assets.
Community help, a support subscription and managed operation are different purchases. Upstream Redmine relies on community help; a reseller's hosting or paid plugin is not automatically included. OpenProject and Taiga offer different commercial support arrangements, but a support contract alone does not transfer server operation to the provider. Obtain the actual license, support, infrastructure and administrator cost together.
Self-hosting gives you responsibility for the deployment. It is not, by itself, evidence of superior security or an established recovery process.
Trace code and builds without confusing them with deployment
OpenProject's GitHub integration can show pull-request and Actions status, using an integration account/token, repository webhooks and a shared signature secret. YouTrack Server connects external repositories and can map TeamCity/Jenkins build information to issues; build information is pulled on a configurable schedule. Neither mechanism hosts the repository or proves a release reached production.
Taiga's documented GitLab integration is one-way, driven by new events. It does not provide two-way synchronization or historical backfill. Plane's self-hosted GitHub connection requires a configured GitHub App and webhooks. Test the particular references, permissions and network paths your installation will use.
If switching, migration is another separate check. Redmine CSV imports map issue fields; GitLab's Jira importer can flatten unmapped fields into description text. Test identities, history, attachments and relationships in a representative sample before retiring the existing tracker.
Narrow the shortlist
New Jira Data Center customers could no longer buy subscriptions from March 30, 2026. If you want Backlog on-premise, Azure DevOps Server or GitHub Enterprise Server, obtain the specific deployment offer and verify its planning features before adding it to this shortlist.
Inspect Taiga's buyer-operated deployment or a specifically on-premise quote for an agile-focused team. Inspect OpenProject Community/on-premise when schedules and sprints need one system. Ask about the exact version, required paid features, support responsibilities and restore process before committing.
