Workzone Review and Pricing: Plans, Intake and Portfolios
Workzone combines task lists, boards and Gantt planning with dependencies and reusable projects. It gives a team ways to follow individual assignments and inspect the schedule behind them, then extends into intake, proofing, portfolios and capacity on higher tiers. It is a useful candidate when daily delivery and management oversight need to share the same project structure.
A scheduled initiative is a good starting point for evaluating it: bring the tasks, their dependencies and the status questions a manager needs answered.
Keep the plan and the tasks connected
Starter includes list, Kanban and Gantt views, dependencies and templates. Those tools let a team inspect both the flow of tasks and the timing of the overall project. Templates provide a route for reusing a process when similar work recurs.
Workzone's finish-to-start dependencies can include lead or lag. Optional notifications flag predecessor completion or lateness, helping the person responsible for the next step notice a relevant change. Late-predecessor warnings apply to the direct successor rather than every downstream task, so a manager should still review the broader schedule when an early task slips.
Team adds intake and proofing alongside portfolios, time and expense, and capacity features. For a team receiving requests and taking work through review, that is a progression from scheduling alone toward coordinating the surrounding delivery process.
Workzone pricing: Starter, Team and Enterprise
Workzone offers Starter, Team and a quoted Enterprise plan with per-user annual billing. Visit Workzone for up-to-date pricing for your plan and seat count. Choose Starter for task scheduling, Team for intake and broader delivery oversight, or Enterprise when cross-project dependencies and integrations are required.
| Plan | Documented scope | Relevant buying question |
|---|---|---|
| Starter | 1–25 users, 100 active projects, Gantt/Kanban/list views, dependencies, templates and chat support | Does task and schedule coordination cover the requirement? |
| Team | Minimum five users, unlimited projects, portfolios, intake, proofing, time/expense and capacity | Do you need requests, review and oversight around the scheduled work? |
| Enterprise | Critical path, cross-project dependencies, API/integrations and SSO | Which connections, scheduling relationships and administration controls are essential? |
Team includes human training and a success manager. Ask which advanced training, analytics and integration assistance are included and which cost extra. See the official pricing page and confirm both the subscription and assistance you expect to buy.
Cross-project planning has specific boundaries
Enterprise supports cross-project dependencies between unlocked projects in the same workspace. A connected set is limited to five projects and 500 rows; links between a pair originating in the same project are capped at five.
Those links are removed when copying projects, creating templates or exporting to Microsoft Project. If your process reuses interconnected projects, include the work of rebuilding those relationships in the evaluation. The cross-project dependency guidance is more useful for this decision than a simple check mark for dependency support.
Enterprise also documents custom daily workload and capacity settings. These can support resource planning, but their presence does not establish performance at your scale or that every staffing process will fit. Bring the actual planning period and allocation question to a demonstration.
If switching, start with a sample of existing work
Workzone documents adding tasks and subtasks to an existing project, plus imports from Excel and Microsoft Project. That gives a practical entry point for an existing schedule. It does not establish preservation of every source field, so compare a representative import against the original before moving the full project library.
Include task dates, hierarchy and dependencies in that check. Then ask an assignee to identify their next action and a manager to find the relevant project status. That exercise connects setup decisions with the reason for adopting the tool, rather than measuring success only by whether records appeared.
Custom project and task fields are documented on Enterprise with a cap of 20. Decide which information must be structured for reporting and which belongs in task context before committing to a field-heavy design.
Connections and support
Enterprise documents Slack and API access, plus Google Drive, OneDrive and SharePoint file links or copies. A file link or copy is a particular operation, not evidence that all underlying documents and project records stay synchronized. Test the connection you need with the permissions your team will use.
Workzone advertises human support and training, and Starter lists chat support. Request contractual response terms if they matter to the purchase. If guided adoption is part of the attraction, specify the sessions, participants and configuration work in the quote.
Other approaches to compare
Asana is a relevant alternative when the emphasis is on clear task ownership and follow-through, with My Tasks and Inbox connecting personal work to projects. Advanced adds portfolio visibility and native time tracking.
ClickUp brings tasks, Docs, chat and time recording into a configurable workspace. Consider it when consolidating that wider daily work is as important as maintaining project schedules.
The project management comparison also covers other ways to approach structured schedules and cross-project oversight.
Verdict
Workzone deserves consideration for teams that want a scheduled project structure with room to add intake, proofing and management visibility. Starter covers a documented set of planning foundations; Team and Enterprise extend the workflow and controls.
