Trello vs Asana: Features, Pricing and Best Fit

Trello makes work visible as cards moving through agreed stages. Asana connects assigned tasks with project plans, individual work views and, on higher plans, portfolio oversight. Both keep owners and context close to the work; the decision is how much structure you need around that shared task record.

Start with Trello when a board showing what is queued, active and ready for review answers the team's main questions. Start with Asana when the same work needs a clearer path into linked schedules or visibility across several projects.

How each tool supports everyday work

A Trello board contains lists, with cards carrying task details and moving between them. The team can agree what each stage means and keep the owner and supporting context on the card. For an editorial queue or a series of team actions, the movement of work is itself useful information.

Asana projects group initiatives or recurring processes. A task has one responsible assignee, collaborators, dates and context, with subtasks dividing a larger job. My Tasks gathers a person's assignments across projects and Inbox brings followed updates together. That is useful when someone needs to see their own commitments without visiting each shared project separately.

Asana also offers board views, so the choice is not simply boards versus no boards. The stronger reason to choose it is the surrounding assignment, schedule and portfolio structure. Conversely, moving from Trello solely to obtain another task list may not solve a meaningful problem.

Trello vs Asana pricing: useful plans and team costs

USD paid amounts are per user/month with annual billing.

PlanDocumented scopeRelevant upgrade reason
Trello FreeTen collaborators and ten boards per workspaceStart with shared card flow within those limits.
Trello Standard, $5Unlimited boards, custom fields and advanced checklistsAdd structured card information and richer checklist work.
Trello Premium, $10Timeline, table, calendar and dashboard viewsInspect the work beyond the main board.
Asana PersonalCurrent free plan allows two seats, with list, board and calendar viewsEvaluate shared assignments on a very small scale.
Asana Starter, $10.99Forms, timeline/Gantt, custom fields, dashboards and rulesAdd request intake and a more structured project workflow.
Asana Advanced, $24.99Portfolios, approvals, portfolio workload and native time trackingCoordinate and review work across projects.

Current Asana Personal applies to signups after November 12, 2025; some older eligible accounts retain ten-seat legacy access. An existing team's entitlement may therefore differ from a new signup. Trello guests count toward the Free collaborator limit, so ten internal colleagues plus an external participant would exceed it.

Trello Premium's alternative views should not be treated as proof of native dependency, critical-path or resource planning. If they drive the purchase, Asana's structured scheduling and Advanced portfolio scope make it the more relevant starting evaluation.

Guests change both visibility and cost

On a paid Trello workspace, a guest on one board is unbilled; joining two or more boards makes that person billable at member rate. Guests normally edit like board members and see every card on a shared board. You cannot hide selected internal cards from a guest while leaving them on that same board.

That means a separate client board can keep unrelated projects apart, but a mixed internal-and-client board needs deliberate design. Check the Trello guest guidance before inviting external participants.

Asana eligible organization guests use an external email domain and do not consume seats. Workspace collaborators count, including guests, so the collaboration space matters. Paid Asana quantities also move into seat increments: after quantities of two through five, five-seat increments apply through 30. Twelve internal members ordinarily need 15 seats. Compare actual roles and billable seats rather than multiplying each headline price by a contact list.

Automation and connected work

Trello automation can handle repeated labels, dates and card movement. It has separate run and operation meters: one trigger consumes a run and its actions consume operations. Free allows 2,500 operations monthly and Standard 20,000. Premium's unlimited runs still have an operation ceiling, calculated as 150,000 plus 10,000 per user up to 250,000 per workspace.

Asana paid rules can route or update tasks, with limits including 50 rules per project and 20 triggers and 20 actions per custom rule. Its Slack integration can create tasks or comments from messages while preserving project permissions. In either tool, choose a repeated handoff and test its actual action and access requirements.

Trello Power-Ups can extend the workflow and may cost separately. Price and permission-check any essential extension as part of the product choice rather than assuming every capability belongs to the base subscription.

Starting fresh or moving a project

A new Trello board needs agreed list meanings, ownership and a completion rule. A new Asana project needs an agreed task structure and update habits.

If migrating, Trello has no generic native import tool. Pasted titles, API programming or third-party import Power-Ups are options, but pasted spreadsheet rows do not preserve a complete project history. Asana CSV imports create tasks rather than update existing ones; hierarchy and newly imported dependencies need checking.

Try one representative project containing attachments, completed tasks and discussion before choosing a migration route. For help, Trello lists community support on Free, local business hours on Standard, 24/5 on Premium and 24/7 for Enterprise admins. Asana routes unresolved Help Center chatbot questions to tickets.

Which should you choose?

Choose Trello when visible task stages cover the work and you want the board to be the team's shared point of reference. Read the full Trello review, then build a board around a real queue or project.

Choose Asana when individual assignments must connect with schedules and wider project progress. Read the full Asana review, then assess Starter or Advanced against that requirement.
