Smartsheet vs monday work management: Features, Pricing and Best Fit
Smartsheet and monday work management both turn shared records into a way to coordinate projects. Smartsheet combines sheets, formulas and dependency schedules with forms and reports. monday combines configurable boards, columns and item Updates with request forms and dashboards.
Start with Smartsheet when linked schedules and spreadsheet-style records should remain the foundation of planning. Start with monday when adapting a visual tracker to requests and a team's own process matters more. Both deserve a practical evaluation beyond how familiar the grid or board looks.
Take a schedule with predecessors and a reporting requirement to Smartsheet.
Take an incoming request and the fields needed to track its progress to monday.
The working model behind each tool
Smartsheet's records, formulas, forms and reports support both collecting information and planning work from it. An owner or administrator can enable duration and predecessor columns so date changes propagate using the sheet's working-day schedule. Parent rows roll up dates, duration and completion, and zero duration creates a milestone. The grid can therefore contain real schedule logic rather than simply a colored list of dates.
monday boards contain items, groups and adjustable columns. Updates keep discussion with each item; WorkForms turn structured requests into board items; dashboards combine boards for progress reporting. This supports a team that wants the tracker to reflect its own request types, statuses and fields.
A useful distinction is what you need to preserve as work changes. In Smartsheet, it may be the logic between dates and formula-based records. In monday, it may be a shared intake and tracking process. Neither tool's flexibility removes the need to agree who maintains the structure and updates the work.
Smartsheet vs monday work management pricing: useful plans and team costs
Smartsheet Pro was USD $9 per Member/month billed annually for 1–10 Members. Business is $19 on the same basis, with a three-Member minimum, adding workload, guests and unlimited automation. API access requires Business or above; Data Shuttle and advanced connectors have separate packaging.
Visit monday for up-to-date regional pricing for Standard or Pro. Paid subscriptions start at three seats, then use five-seat buckets: four users need five seats and six need ten. Standard adds timeline/Gantt and guests.

Collaboration needs an administrator's attention
Smartsheet distinguishes paid Members, provisional Members, free Contributors and external Guests. Contributors can view and, with Commenter permission, comment and attach files; Business and Enterprise Guests can edit shared work. Qualifying actions can create provisional membership with at least 30 days of unpaid use.
Whether that access becomes paid depends on the account's approval settings. Inspect the administrator approval setting before assuming that provisional access will remain free or automatically become paid. Annual plans reconcile quarterly and monthly plans monthly, with an administrator review window. This is continuing purchasing administration, not just an initial headcount.
On monday, Basic lacks shareable-board guests. Standard's first three qualifying external guests are free; each complete group of four consumes a seat. Those guest-seat groups and internal members jointly determine the paid bucket. Pro and Enterprise permit unlimited guests. Trial guest access should not be treated as Standard's continuing entitlement.
Scheduling and automation: test the consequential edit
Smartsheet supports four dependency types and lead or lag. Manually overriding a dependent date removes its predecessor association. In a pilot, change a predecessor and then a dependent date so the team understands both propagation and the effect of an override. See the dependency guidance.
For monday, estimate the volume behind the automation and integration labels. The Standard allowances are separate action pools, not counts of workflows and not AI credits. A multi-step operation or continuing external synchronization can use several actions. A tracker that works in a demonstration may need Pro's larger allowances for everyday use.
If moving existing spreadsheets across
Smartsheet imports Excel, Microsoft Project, Google Sheets and Trello into new sheets. Only the first Excel worksheet imports per pass; formulas need translation, and merged cells, validation dropdowns and some formatting are excluded. The documented limits are 50MB and up to 20,000 rows, 400 columns or 500,000 cells. Scheduled imports use Data Shuttle rather than the ordinary importer.
monday also imports only the first spreadsheet tab. Subitems arrive as items and need manual conversion, and data does not import into Updates. Unlike an import that only creates new records, matching imported rows can update existing monday board items.
For either product, check one file containing the formulas, hierarchy and discussions you depend on. A familiar starting structure does not guarantee preservation of the complete working history.
Support and a realistic evaluation
Paid Smartsheet Members can open technical-support tickets. Its Help, Community and portal availability around the clock does not promise round-the-clock human responses; services depend on the support package. monday's in-platform contact flow begins with an AI assistant, with Academy, knowledge-base and community resources available.
Demonstrate the essential data connection and request service terms if assistance or a response commitment materially affects the purchase.
