Celoxis Review and Pricing: Projects, Resources and Costs
Celoxis combines project schedules, reports and dashboards with a path into time tracking, resource planning and financial control. Teams can build a work breakdown in Gantt, connect tasks through dependencies and use broader views to examine delivery across projects.
Its appeal is the connection between the plan and the people and costs behind it. Explore Celoxis when managing dates is only part of the job and you also need to understand capacity or project economics. A demonstration built around a real schedule will make those requirements easier to assess.
Working with the schedule
The Gantt interface supports tasks, subtasks, milestones, dependency editing, baselines and export. That gives project managers a working structure for execution as well as a way to communicate the plan.
Scheduling behavior depends on the mode you choose. Manual scheduling preserves chosen dates and treats predecessors as information. Automatic scheduling recalculates using dependencies, calendars, resource constraints and work. Four dependency types and lead or lag settings represent the relationships between activities.
Advanced scheduling includes fixed-work, fixed-duration and fixed-units modes. Those choices determine what the schedule should preserve when something changes, so they deserve attention during setup. Easy scheduling hides the mode and allocation percentages, divides work equally between assigned resources and respects calendars while moving successors. Unequal allocations require advanced scheduling.
Choose the scheduling mode that matches the control you need. Managers still need to select assumptions and maintain the inputs. Celoxis explicitly does not provide priority-based scheduling or automatic resource leveling: visibility into workload does not mean the system automatically resolves every over-allocation.
Celoxis pricing: useful tiers and minimum seats
Pricing is in USD per full-access user per month, prepaid annually, with a minimum of five full-access users. Core is USD 10, Essentials USD 25, Professional USD 35 and Business USD 45; Enterprise requires a quote.
Core includes Gantt, reports and dashboards. Essentials adds timesheets and resource planning. Professional adds risk, intake and costing, while Business adds billing, a client portal and additional security features. Five full-access users therefore start at a monthly equivalent of USD 50 on Core or USD 125 on Essentials, with annual prepayment. Select the tier by the operating requirement, not simply the entry price.
Cheaper Team Member licenses cannot manage projects or view Gantt and reports. Timesheet users are excluded from workload. Those restrictions are significant if the people supplying time entries also need to be represented in capacity planning, or if participants need to inspect the project schedule. Request a role-by-role quote and confirm what each person can see and do.
Integration and service costs
Jira, Azure DevOps and QuickBooks connections are shown as add-ons below Enterprise. Obtain the connector and add-on prices for the integrations you need. API allowances scale from 150 to 1,800 calls per hour across the offering, so the chosen tier and intended data flow need to be checked together.
For a team bringing delivery updates from another system or sending financial information onward, ask for the specific fields, direction and frequency to be demonstrated. A listed integration establishes an available route, not verified synchronization behavior or reliability.
Support ranges from Community on Core through Standard, Premium and VIP offerings. Templates and training services are available; request onboarding costs and contractual response commitments. Include those services in the quote if a managed rollout is part of the requirement.
Preparing for adoption
A useful pilot should contain a dependency chain, a calendar exception and a task shared by several resources. Change its dates and effort to see whether the chosen scheduling mode expresses your team's assumptions. Then check the Gantt and workload views using the proposed participant roles.
If switching, obtain an import plan for the existing schedule and confirm deployment options before making a full commitment. The available capabilities support evaluation; they do not establish that your current structure will transfer without reconstruction.
Alternatives and verdict
Asana is worth comparing when the priority is coordinating assigned work and gaining portfolio visibility. ClickUp offers a configurable environment that also includes Docs, chat and time recording. The project management comparison can help distinguish those everyday coordination needs from more detailed scheduling and costing requirements.
Celoxis merits a closer look when schedules, resource assumptions and project economics need to be considered together. Its plan progression is meaningful, but the usable cost depends on full-access users, limited roles, connectors and service requirements. Visit Celoxis to demonstrate your schedule and request a complete quote for that operating model.
